Research On The Design And Implementation Of Electronic Trip And Accounting System

Information technology has been increasingly applied in enterprises in recentyears when the accounting information system experienced a dramatically changedenvironment. In a conventional finance management mode, financial data supplied bybusiness operators are reprocessed by accountants, which leads to informationseclusion, labor repetition and inefficiency. The information technology, typicallyincluding Internet and ERP (Enterprise Resources Plan) system, enlarges theintegration level of finance and business. Data from business operators are transferredto accountants via the system, effectively avoiding repeating data collection andmaking data sharing possible.In the past, some reimbursement functions (e.g. for business trip expense andreception activity expense), which found no way to be integrated in any modulewithin ERP system, could only lie on accountants to hand input data, which wouldthen be processed in the general ledger module. In order to improve the abovementioned inconvenient procedure and to streamline the financial management, somecompanies developed a so called e-trip system to complement ERP system. The e-tripsystem upgrades not only financial data sharing range but also efficiency, as thefinancial data are collected directly from the related business tripper.This paper cites the practice of a steelmaker, company T, in a purpose ofsupplying good practice to other big scale enterprises: firstly the background andapplication status of and reason for adopting e-trip system; then company T’s currentfinance management and informationalization situation, which raise the necessity ofusing the electronic trip and accounting system, as well as some experience learnedduring its application; and finally the specific scheme to use the system, particularlythe details of the system itself.
