Investigation And Study On Archival Utility Of Students’ Files About7Universities In Henan Province

With the development of national archival career and high education career, August20th,2008, University Files Management Approach was signed and promulgated by Zhou Ji (Minister of National Education) and Yong Dongquan (Secretary of National Archives). It greatly contributes to university archival career, especially to students’files work. As the only new category, students’ files became a focus of archival field even all society. Students’files are very important and irreplaceable for students, university, as well as society. The utility of students’files is directly related with students, and has much effect on the development of university.As the new field and content of university archival career, the utility of students’ files has much distance from the need of users and needs to be promoted. According to current status, the author of this paper has searched7universities in Henan and the archival users. The author get the information of the current status and the users’need by inquiring business records, talking with archivists, distributing questionnaires to users, and talking with users. Based on the data, the author do the analyses of features and shortcomings According to the investigation, the author found the features:the utilization is increased and relatively concentrated, and some gap between collection and utility. Besides,the author point out the shortcomings about file collection, publicity, feedback, human resource, information geotechnology construction. And last, the author make some recommendations for the utility of students’ files.There are six suggestions:optimalizing the content of students’ files, strengthening the publicity of utility, launching the archival education, sounding feed mechanism, improving the quantity and quality of personnel, as well as speeding up the information technology contradiction.
